The Initiation Coordinator plays a vital role in ensuring that every initiation is conducted with accuracy, care, and respect for U.S. Grand Lodge procedures. From receiving applications to submitting reports and maintaining permanent records, this office serves as the administrative backbone of the initiation process.
This live Kaaba Academy training is designed for current and prospective Initiation Coordinators, Body Masters, Secretaries, and any member interested in understanding how the office functions. Whether you are assuming the role for the first time or looking to refine your existing systems, this class will provide practical guidance you can immediately apply in your local body.
During this session, we'll walk through the complete administrative lifecycle of an initiation, including:
The responsibilities and role of the Initiation Coordinator
Receiving and reviewing initiation applications
Managing candidate records and correspondence
Scheduling and tracking initiations
Completing and submitting Initiation Reports
Filing procedures and record retention
Camp-specific reporting procedures
Common administrative mistakes and how to avoid them
Best practices for building organized, sustainable office systems
Throughout the presentation, participants will have the opportunity to submit questions, which will be addressed during a live discussion at the conclusion of the class.
The training guide for this class was prepared by Soror Constance, Chair of Kaaba, in collaboration with Frater AAA, U.S. Grand Lodge Initiation Secretary, and Sister Nena. Frater AAA will join the class for a live question-and-answer session, providing participants with the opportunity to learn directly from the officer currently serving in this role and to discuss practical situations that arise in day-to-day administration.
Every participant will receive a comprehensive companion guide following the class.
Far more than a copy of the presentation, this reference manual expands on each topic covered during the session and includes detailed procedures, workflows, checklists, filing systems, reporting guidance, timelines, and recommended best practices. Designed to serve as a practical desk reference throughout your term, it provides the tools and organizational systems needed to manage the office with confidence and consistency.
